Background
The Wildlife Conservation Society (WCS) has a distinguished history of experts exploring and saving wildlife in some of the most remote and wild places remaining on Earth. The Wildlife Conservation Society-Indonesia Program (WCS-IP) has significantly grown over the last decades and contributed to supporting the Government of Indonesia (GoI), particularly the Ministry of Forestry (MoF) in conserving Indonesia's biodiversity. WCS-IP is structured under five core thematic programs: Forests, Marine, Wildlife Trade & Policy, One Health, and Rights & Communities. These programs are supported by cross-cutting units namely Science & Technology, Conservation Network & Partnership, and Operations.
To achieve our overall goal of saving wildlife and wild places, WCS-IP is currently seeking qualified candidates for the position of Senior HR Coordinator. The position will directly report to Senior Operations Manager and work with other WCS-IP staff.
Purpose of the role of Senior HR Coordinator is responsible for coordinating and implementing HR systems and processes to support recruitment, development, and staff wellbeing. The role ensures that HR operations are executed efficiently, remain compliant with local laws, and effectively support the daily needs of the organization’s staff and management.
Key Responsibilities
1. HR Coordination & Planning
- Coordinate the implementation of the HR plan and workforce activities aligned with organizational goals.
- Assist in the review of organizational structures and maintain updated job descriptions.
- Monitor HR-related expenditures and provide data for budget planning.
2. Recruitment & Talent Acquisition
- Execute end-to-end recruitment processes: coordinating adverts, screening, and scheduling interviews.
- Ensure hiring practices follow organizational values and donor requirements.
- Lead the delivery of onboarding and induction programs for new hires.
3. Performance Management & Learning Administration
- Coordinate the annual performance management cycle (tracking submissions and documentation).
- Organize training sessions and maintain the learning calendar based on identified staff needs.
- Collect and analyze HR metrics (turnover, time to fill) for regular reporting.
4. Compensation, Benefits & HR Operations
- Administer payroll, insurance, and benefits schemes to ensure accuracy and timeliness.
- Manage the HR Information System (HRIS) and ensure all personnel files are up-to-date and confidential.
- Ensure day-to-day compliance with labor laws and internal policies.
5. Employee Relations & Staff Support
- Act as the first point of contact for staff grievances and employee relations inquiries.
- Organize staff engagement activities and support wellbeing initiatives, especially for field teams.
- Facilitate employee engagement activities, staff surveys and follow-up action plans.
6. Policy Implementation & Compliance
- Communicate HR policies to staff and ensure consistent application across all sites and ensure alignment with local regulations.
- Monitor compliance with safeguarding (including child protection, prevention of sexual exploitation & abuse and harassment-free workplace), health and safety, and work permit requirements.
- Identify operational HR risks and report them to senior leadership and proposed mitigation.
7. HR Business Partner & Change Managerment
- Act as main contact person with WCS SEAP HR Manager; provide advise on people implication of programmes, restructure, organization change, culture initatives
- Support major HR initiatives (e.g., HRIS implementation, salary survey, etc.)
- Foster collaboration between HR, Operations, Strategic Units and Programs.
Qualifications & Experience
- University degree in HR, Business Administration, or related field.
- Minimum 5–7 years of HR experience (NGO sector preferred).
- Proven experience in a supervisory or senior coordination role.
- Fluent communication in English, written and verbal
- Strong operational knowledge of labor laws and HR administration.
- Excellent interpersonal, communication and negotiation skills
- Strong knowledge of HR practices (recruitment, performance management, compensation, benefits, HRIS), local labour laws, donor compliance
- Experience with HR metrics, data analysis and reporting
- Demonstrated commitment to diversity, inclusion, safeguarding, ethical conduct
- Willingness to travel to field/project sites
